How we collect, use, and protect your personal information when you register, submit an abstract, or attend the 4th International Conference on Rice for the Future.

ICRF2026, hosted by Kasetsart University in partnership with the Hub of Rice, is committed to protecting the personal data of all participants, speakers, sponsors, and visitors to this website. This Privacy Policy explains how we collect, use, store, and protect your personal information, in accordance with Thailand's Personal Data Protection Act (PDPA).

01 Information We Collect

When you register, submit an abstract, or we may collect:

  • Personal details: full name, title, affiliation/institution, country, email address, and phone number
  • Professional information: research interests, abstract/paper submissions, and presentation materials
  • Payment information: transaction records necessary to process registration fees (card details are processed directly by Bangkok Bank and are not stored by us)
  • Technical data: IP address, browser type, and login activity when you use the registration portal
  • Website usage data collected automatically via Google Analytics, such as pages visited, time on site, device type, and approximate location (see Section 8)
  • Photographic and video images captured during the conference (see Section 4)

02 How We Use Your Information

Your personal information is used to:

  • Process your registration and confirm your participation
  • Review and manage abstract/paper submissions
  • Communicate updates about the conference, including schedule changes, program details, and logistics
  • Prepare conference materials such as name badges, certificates, and program books
  • Send communications about this event and future Hub of Rice events (you may opt out at any time)

03 Sharing of Information

We do not sell your personal information. Limited information may be shared only where necessary, such as:

  • With the conference venue (Centara Grand Ladprao Bangkok) for hotel booking or accommodation arrangements you request
  • With payment processors to complete registration fee transactions
  • With sponsors, only as aggregated or anonymized statistics, unless you separately opt in to be contacted by a specific sponsor

04 Photography and Media

Photographs and video recordings will be taken throughout ICRF2026, including during the opening ceremony, keynote and concurrent sessions, poster sessions, and networking activities. By attending the conference, you acknowledge that your image may be captured and may be used by the organisers (Kasetsart University and the Hub of Rice) for:

  • Promotion of ICRF2026 and future Hub of Rice events on the official website and social media channels
  • Conference reports, post-event summaries, and academic/institutional documentation
  • Internal records and archival purposes

We do not use conference photographs for third-party commercial advertising. If you do not wish to be photographed, or would like an existing photo removed from our promotional materials, please notify our registration desk on-site or contact us at support@thailandricehub.org.

05 Data Retention

Personal data is retained only as long as necessary to fulfil the purposes outlined in this policy, including post-event reporting and academic record-keeping, and is securely deleted or anonymized thereafter in accordance with the PDPA.

06 Your Rights

You have the right to:

  • Access, correct, or update your personal information
  • Withdraw your consent to receive future communications
  • Request deletion of your personal data, subject to legal or administrative retention requirements
  • Request that a specific conference photograph be removed from promotional use

We implement reasonable technical and organizational measures to protect your personal information against unauthorized access, loss, or misuse.

08 Cookies and Analytics

This website uses Google Analytics to understand how visitors use the site, such as which pages are viewed, how long visitors stay, and which device or browser is used. Google Analytics uses cookies and similar technologies to collect this information in anonymized or aggregated form; we do not use it to identify you individually.

Google may process this data in accordance with its own privacy policy. You can learn more or opt out of Google Analytics tracking via the Google Privacy Policy or by installing the Google Analytics Opt-out Browser Add-on.
